Team Parent
A Team Parent is an administrative assistant to the coach, and is the primary
communicator between the coach and the parents. Duties include overseeing and
coordinating other parents in several areas — refreshments, parties, articles for the
Kicker, banner making, telephoning information, field set-up/tear down coordination,
and anything else that pertains to your team. Coaches greatly appreciate a
committed Team Parent, as this allows them to concentrate more on coaching.

Team Roster
Create a Team Roster listing names (parents & players), addresses, emails, phone
numbers (home, cell, office - list preferred method of contact). This list will come in
handy if someone needs to trade a snack day, or needs to arrange a ride for their
child to practice/game. Before distributing the list, confirm with the parents that they
are comfortable having their information shared with the team.

Email Notifications
Emails are helpful in reminding the team about practices, games, and times.
A sample email is below:
Good evening Dominators’ Fans!Here are the details for Saturday’s game . . .
When: Saturday, November 19th
Where: Torrance Elementary - 2125 Lincoln Ave., Torrance
Game Time: 9:00 AM
Arrival Time: 8:15 AM - since we’re the first game, we also have to help set up the nets!
Opponent: Team 1 (Coach Bill Morris’ team)
Snack: Sandi Gable (Jake’s mom)
Don’t forget to bring some $ for our goal jar!

The Coach may ask you to help distribute uniforms to the players, and record each
player’s jersey number. It is recommended to bring a list of the players and record
the information on that, rather than writing everything from scratch, the day of
uniform distribution.

Picture Day

You will need to coordinate picture day with the team. Let them know the day, time,
and location, and . . . have them arrive 30 minutes prior to their assigned time to assure
everyone is all together for picture-taking. Arrange a specific place to meet at your
photo venue. You will receive picture packets, which are ideally to be passed out
ahead of time. Of course, you will want to have extras on hand come picture day.
There will be one scheduled Picture Day on Sunday, September 9th, and one
scheduled makeup Picture Day — to be determined by the Region for individual
pictures only.

Game Day Refreshments

Generally, each family is assigned a specific game day to bring refreshments for the
players (coaches & Refs appreciate a treat, too). Typically, there is a healthy, single
serving, half-time snack — sliced oranges, grapes, strawberries, sliced apples, etc. —
just enough to give the players a burst of energy. At the end of the game, a snack
bag is distributed — a fun treat (crackers, applesauce [don’t forget the spoon],
cookies, granola bar, juice box, etc.)

You’ll need to create Snack Schedule listing who is bringing snack for the team
(Coaches & Refs, too), and when.

Note: In U6 there are no Refs, U7/U8 has 1 Ref, U10 and above has 3 Refs. Also, you may
find the older U10+ kids sometimes think the snack bag at the end it “baby-ish”. You
can take a vote (you know most of them would LOVE it, but may not want to admit it!)

Field Setup/Tear Down

A handful of parents are required to help set up and tear down the fields on the days
their children have either the first or last games of the day. You will need to remind
the parents of this duty, on those particular game days.

AYSO Safe Haven

As noted on AYSO’s web site: www.ayso.org/why_join_ayso/safe_haven.aspx,
Volunteers are the lifeblood of AYSO. To ensure the safety of both children and
volunteers, each volunteer is required to take an online training session called Safe
Haven®. It focuses on safety and appropriate behavior with children as well as other
on-field issues. Agreeing to a background check is also required for each volunteer.
AYSO’s Safe Haven® is required by all volunteers. You only have to take the training
session one time!After you log-in at www.eayso.org, click on “Apply as a new adult
volunteer” to get started. After completing the training session, print your certificate
right then and there!
Becoming Safe Haven® certified may take a little time, but AYSO families know their
children’s safety is worth it.
Safe Haven® is both a child and volunteer protection program. It was the first of its
kind in youth sports.
The child protection aspect is intended to prevent child abuse, promote education
and awareness, enforce policies and screen and train volunteers. It includes
proactive steps that promote a positive, healthy environment for children.
Volunteer protection is the result of volunteer training, certification and continuing
education. The Volunteer Protection Act of 1997 provides certain legal protections
for volunteers who have been trained and certified and act in accordance with a
written job description and AYSO’s policies and guidelines.

Once the team comes up with a name, it’s time to get the banner ordered, or made,
if you’re lucky enough to have someone with banner-making talent on your team.
Banner information is inside of this packet. Let the parents know what their share of
the cost will be. Ideally, you want to have the banner ordered and ready by the
first game. You will need a volunteer to put-up/take-down and store the banner,
every week. As the teams get older (U10+), you might find they do not want a banner.
Team Sponsorship
Fundraising is not a requirement of AYSO, but you may want to seek a sponsor to help
cover the cost of the banner and perhaps help with the cost of the team party. Be
sure to thank them and invite

After your team’s game, have everyone leave the field cleaner than when they
arrived — just like camping.

Team Parent Checklist

[ ] Take the Safe Haven Training Session
[ ] Create a Team Roster
[ ] Order banner (if it’s ready, bring it to Picture Day)
[ ] Provide your Team with Picture Day details, and distribute the packet in advance
[ ] Create a Snack Schedule
[ ] You may want to put each player’s parents’ number in your cell phone, in case
you need to send a quick text regarding the weather, Snack Duty, etc.
[ ] Team Parent game-time essentials — Sharpie, hand sanitizer, Team Roster,
suntan lotion, a couple of trash bags
[ ] Create an email template, and make sure to always include your contact number
at the bottom
